Vessel Manager – New Orleans, LA


PURPOSE OF JOB:
    The Vessel Manager is the main point of contact with the vessel’s Principal, the ship’s Master, officers, and crew and is responsible for assuring that all ship agency requirements associated with the vessel’s port call are managed satisfactorily. These requirements include ship operations, adherence to U.S. and state governmental regulations, pricing, contracting, approval of expenses, and risk management. The Vessel Manager is the “general contractor” and is expected to independently oversee agency vessel operations for the port call.

JOB REQUIREMENTS:
  1. Must be capable of working independently with little direct supervision.
  2. Must successfully complete testing requirements administered by both the Company and the Association of Ship Broker and Agents.
  3. Must demonstrate problem solving ability and the ability to use independent judgment to manage ever changing ship requirements.
  4. Must be capable of boarding ships, both at anchor and dockside, via stationary or moving ladder or gangway, carrying applicable paperwork, laptop computer, cellular phone, small packages and be able to navigate irregular surfaces.
  5. Must be willing to work irregular hours, including rotational weekend duty and evenings.
  6. Must have good organizational and communication skills, including written and verbal.
  7. Must have a valid Driver’s License issued in the state of residence and good driving record as determined by the Company.
  8. Must be capable of lifting and carrying up to 30 lbs.
  9. Must be capable of effectively communicating and working with individuals both domestically and internationally.

ADMINISTRATIVE ASSISTANT - Houston, TX


PURPOSE OF JOB:
    This position requires the Administrative Assistant to work closely with the District Manager and staff and make sure customer needs are met in a timely fashion. The Administrative Assistant provides administrative support to Vessel Agents while they are in the office and out in the field.

Operations duties will include:
  1. Coordinate invoices and monitor system to assure timely approval.
  2. Maintain vendor files.
  3. Answer questions concerning vessel schedules and operations when staff are out of the office.
  4. Work closely with corporate accounting department.
Administrative duties will include:
  1. Handling incoming telephone calls.
  2. Field calls from vendors inquiring about payment of invoices and research payment status.
  3. Maintain office supplies and equipment.
  4. Maintain weekly absence reports for staff and track vacation and sick days.
  5. Distribute the mail and prepare courier packages.
  6. Prepare documents for corporate A/P department.
Candidate requirements:
  1. Must be able to work independently in a fast paced environment.
  2. Be able to multi-task.
  3. Bookkeeping skills and some accounting work experience is essential.
  4. 2-3 years’ work experience in a similar position.
  5. Excellent written and oral communication skills.
  6. Excel experience is required.

DOCUMENTATION ASSISTANT - New Orleans, La


PURPOSE OF JOB:
    This position requires the Documentation Assistant to work closely with the District Manager and staff and make sure customer needs are met in a timely fashion. The Documentation Assistant provides administrative support to Vessel Agents with documentation while they are in the office and out in the field. Operations duties will include:
  1. coordinate customs filings and monitor AES / AMS system to assure timely approvals.
  2. coordinate receiving of Bills Of Lading and delivering to the vessel agent.
  3. generate Bills Of Lading and work closely with customers to edit and maintain these.
  4. generate full documentation to give to the vessel agent prior boarding their vessels.
  5. entering and maintaining data into our online documentation system.
  6. Sending final documentation out to customers.
Candidate requirements:
  1. Must be able to work independently in a fast paced environment.
  2. Be able to multi-task .
  3. Bookkeeping skills and some accounting work experience is essential.
  4. 2-3 years’ work experience in a similar position .
  5. Excellent written and oral communication skills.
